Contact: Please use the contact form on our website or the details provided in your order confirmation.
These terms apply to all orders and interactions with Kilford Studios, both online and in person, for private and business clients in Portugal and the European Union.
The applicable law is Portuguese, with jurisdiction in the District Court of Lisbon.

2. Scope

These terms cover all products and services we provide:
• Giclée printing
• Framing
• Artwork photography and digitisation
• Creative consultation sessions
• Mounting
• Sample packs
• Shipping tubes

3. File and Content Requirements

We work with files prepared for high-quality results.
• Accepted formats: TIFF (flattened), JPG, PNG (no transparency), HEIC
• Colour mode: Preferably RGB
• Minimum size: 20×30 cm or A4

By uploading a file, the client confirms that they hold all necessary copyright/licences for reproduction.
We do not print offensive or illegal content and will refuse any file that violates applicable law or third-party rights.

Print quality depends directly on the quality of the file supplied — resolution, sharpness, focus, and any compression determine the final result. Kilford Studios does not correct, optimise, or enhance files by default. If you would like a technical assessment or file preparation before printing, this service is available on request, at a rate of €60+VAT/hour.

Kilford Studios is not responsible for the final result where this arises from limitations in the file supplied — including, but not limited to, artificially upscaled (“upsampled”) images, out-of-focus images, poor cropping, or insufficient definition. The printer reproduces exactly what is in the file, nothing more and nothing less — it does not interpret, correct, or enhance the image. Within the Kilfigurator, the automatic check assesses resolution only (pixel count relative to the selected print size) and cannot evaluate focus, sharpness, or overall file quality. By confirming an order, the client assumes full responsibility for the suitability and quality of the file supplied. No refund, reprint, or credit will be issued based on results arising from the quality of the original file.

4. Prices and Payment

• Prices are shown in euros (€), with VAT included.
• Where “+ VAT” is indicated, tax will be added to the listed amount.
• Full payment is required at the time of order, unless specific terms have been previously agreed for business clients.
• Payment methods: bank transfer, credit/debit card, Multibanco and MB WAY.

4.1. Price Listing

Prices displayed in our online configurator (Kilfigurator) are the only valid and binding prices at the time of order.
Any price discrepancies displayed elsewhere on the website, in previous communications, or promotional materials are not contractually valid.
Kilford Studios reserves the right to correct typographical or publication errors while maintaining full transparency and good faith with its clients.

5. Order Process

Orders are considered accepted upon confirmation of payment.
For orders placed through the Kilfigurator, file resolution is checked automatically when the print size is selected. If resolution is insufficient for the selected print size, the system flags this immediately. By proceeding with the order after this warning, the client confirms they wish to proceed with the file as supplied.
This automatic check evaluates resolution only (pixel count relative to print size) and does not assess overall file quality — including focus, sharpness, definition, or compression. The absence of a warning in the Kilfigurator confirms adequate resolution only, not overall file quality.
For orders placed outside the Kilfigurator (larger or more complex jobs), we manually check resolution, format, and file integrity, including any visible colour deviations or other technical issues. If a problem is identified, we contact the client before proceeding with production.
Production begins without a final proof unless expressly requested by the client. For orders outside the Kilfigurator, a proof may be provided on request, depending on the size and complexity of the job, at Kilford Studios’ discretion.
Once production has started, cancellations are not accepted. Changes may be considered but are not guaranteed.

6. Production Times

We work efficiently and with realistic timeframes:
• Prints: 3–5 business days
• Mounting: 3–7 business days
• Frames: 5–10 business days
• Photography/Digitisation: 3–7 business days

Orders placed after 11:00 are considered received on the following business day.
During busy periods, lead times may be extended by 1–3 business days.

7. Delivery and Collection

• We ship to Portugal, Spain, and other EU countries (zones 2 and 3).
• Free local collection is available at our partner store.
• Responsibility for transport lies with the carrier from the moment the order is handed over.
• The client must check the packaging upon delivery and refuse any visibly damaged shipment, immediately notifying the courier and Kilford Studios to initiate a claim.
• Delays attributable to the carrier do not constitute a breach by Kilford Studios.

8. Returns and Complaints

• All works are made to order, and the legal 14-day right of withdrawal does not apply.
• Any defect or damage must be reported by email, with photos, within 48 hours of delivery or pickup.
• A return for inspection may be requested. If a production error is confirmed, we will reprint or issue a credit.

9. Colour Policy

We operate with professional colour management, calibrated monitors, and ICC profiles specific to each paper.
Differences between personal screens and printed results stem from unavoidable technical variables (calibration, profiles, lighting, etc.).
For consistent results, we recommend reviewing your work on a calibrated monitor, combined with soft proofing using the ICC profiles we provide. Soft proofing is only reliable on a properly calibrated display.

The Kilfigurator is a preview tool only and is not connected to our colour-managed workflow. The preview serves only as a reference for composition, general colour, and layout — not final printed colour, which depends on the actual colour profile, paper, and print conditions. Differences between the Kilfigurator preview and the final printed result do not, on their own, constitute a production error.

10. Durability and Conservation

Our prints, produced with archival papers and inks, can achieve lifespans exceeding 200 years according to manufacturer data and Wilhelm Research, under ideal display conditions.
Avoid direct sunlight, excessive heat, or humidity. Following these best practices is essential to preserving the artwork’s integrity.

11. File Storage and Confidentiality

We typically store client files for up to 12 months to facilitate reprints.
However, Kilford Studios is not a storage service and may delete files at any time at its discretion.
All files are stored securely on a local server.
The client remains responsible for the legality of all submitted content.

12. Use of Works for Marketing

We may showcase images of works produced in our studio on social media or other promotional platforms, unless the client expressly indicates otherwise at the time of order.
This exposure may benefit the client through increased visibility.

13. Website Use

The website must be used lawfully and responsibly.
All content (texts, images, logos) is the exclusive property of Kilford Studios.
Any unauthorised use is prohibited.

14. Limitation of Liability

Our liability is limited to the amount paid for the product or service in question.
We are not responsible for indirect losses, consequential damages, or loss of profit.

15. Dispute Resolution

In case of a dispute, the client may contact the Lisbon Consumer Arbitration Centre (www.centroarbitragemlisboa.pt)

Any legal proceedings will be handled by the District Court of Lisbon.

16. Data Protection

The processing of personal data is governed by our Privacy Policy, available on our website, which forms an integral part of these Terms & Conditions.

17. Force Majeure

Kilford Studios shall not be held liable for delays or failures in performance resulting from causes beyond its reasonable control, including but not limited to natural disasters, strikes, equipment failures, transport interruptions, power outages, or public-health emergencies.

18. Final Provisions

If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
Failure by Kilford Studios to enforce any provision shall not constitute a waiver of that right.
These Terms & Conditions constitute the entire agreement between Kilford Studios and the client, superseding any prior communications or agreements.

19. Changes to Terms

Kilford Studios may update these Terms & Conditions at any time.
The version published on the website is the one currently in effect.

20. Acceptance

By placing an order or uploading files on our website, the client acknowledges and fully accepts these Terms & Conditions.
